01 Who we are

Symax Software Solutions B.V. (“Symax”, “we”, “us”) operates this website. We are the controller for the personal data described in this policy. This policy applies to the website only; our timing, registration and graphics services for events are covered by the agreements we conclude with organizers, and the RaceHub platform at race-hub.io has its own privacy policy.

02 What data we process

This website has no user accounts, no tracking pixels and no advertising. The personal data we process is limited to:

  • Server logs. When you visit the site, our hosting provider automatically records technical data such as your IP address, the pages requested, date and time, browser type and referring page. This happens on every website and is needed to deliver the pages to you and to keep the site secure.
  • Email correspondence. The contact form on this site does not send anything to our servers — it opens your own email app with a prefilled message. If you then email us, we receive whatever you choose to send (typically your name, email address and message) and use it to respond to your inquiry.

That is the complete list. We do not buy, sell or trade personal data.

03 Why, and on what legal basis

  • Serving and securing the website (server logs) — our legitimate interest in operating a functioning, secure website (Art. 6(1)(f) GDPR).
  • Answering your inquiry (email correspondence) — steps taken at your request prior to entering into a contract (Art. 6(1)(b) GDPR) or, for general questions, our legitimate interest in responding to people who contact us (Art. 6(1)(f) GDPR).

04 Cookies & analytics

This website currently sets no tracking cookies and runs no analytics scripts. Fonts are self-hosted, so no requests are made to font networks either.

We may in the future add analytics to understand how the site is used, in aggregate. If we do, we will prefer a privacy-respecting tool that works without personal identifiers. Should we ever introduce analytics that use cookies or similar technologies requiring consent, we will ask for your consent first and update this policy accordingly.

05 Who receives your data

  • Hosting. The website is hosted by Strato, a European hosting provider, which processes server logs on our behalf on servers in the European Union.
  • RaceHub. The events shown on this site are fetched by our server from the RaceHub API — your visit does not send any of your data to RaceHub. If you click through to an event, you leave this site and race-hub.io’s own privacy policy applies.
  • Social platforms. The site links to our Instagram and Facebook pages. These are plain links, not embedded widgets — nothing is shared with those platforms until you click through, after which their own policies apply.

We do not share personal data with anyone else, unless we are legally required to.

06 International transfers

Data processed through this website stays within the European Economic Area. If that ever changes — for example through a new analytics or email provider — we will only transfer data outside the EEA with appropriate safeguards such as an adequacy decision or standard contractual clauses.

07 How long we keep data

  • Server logs are kept for the short rotation period our hosting provider applies for security and troubleshooting, and are then deleted automatically.
  • Email correspondence is kept as long as needed to handle your inquiry and any follow-up. Correspondence that becomes part of a business relationship is retained in line with Dutch statutory retention obligations (generally 7 years for administrative records).

08 Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;
  • have incorrect data rectified;
  • have your data erased (“right to be forgotten”);
  • restrict or object to our processing;
  • receive your data in a portable format;
  • withdraw consent at any time, where processing is based on consent.

To exercise any of these rights, email info@symaxsoftware.com. We will respond within one month. You also have the right to lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens.

09 Children

This website is aimed at event organizers and racing fans, not at children. We do not knowingly collect personal data from children under 16. If you believe a child has sent us personal data, contact us and we will delete it.

10 Changes to this policy

We may update this policy when the website or the law changes. The date at the top tells you when it was last revised. Meaningful changes will be visible on this page — we will not weaken your rights retroactively.
